This policy explains how West Lakes Storage Limited ("we", "us", "our") collects and uses your personal information when you visit www.westlakesstorage.co.uk, make an enquiry, or rent a storage unit from us. We are committed to protecting your privacy and handling your information in line with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

West Lakes Storage Limited is the "controller" responsible for your personal information. We trade as West Lakes Storage, Stress Free Storage, Pack n Stack and West Coast Storage, with sites in Workington (West Lakes Storage; Stress Free Storage at Kerry Park, CA14 3TX; and Pack n Stack) and Egremont (West Coast Storage).

What information we collect
We may collect:
- Contact details – your name, email address, phone number and postal address.
- Identification – a copy of your ID, if we ask for it.
- Booking details – the unit you rent, your rental dates, account history and any notes about your rental.
- Payment information – customers pay us by bank transfer only. We do not take card payments, and we do not collect or store your bank account or card details. When you pay, we only see the payer's name, the amount and the payment reference on our own bank statement.
- Communications – emails, WhatsApp messages and phone calls with us.
- CCTV images – recordings of people visiting our sites.
- Website information – limited technical information needed for our booking system and spam protection (see "Cookies" below).
We collect most of this information directly from you, for example when you complete a booking form, contact us or visit a site.
How we use your information and our lawful bases
We only use your information where the law allows. Our lawful bases are:
- Contract – to respond to your enquiry, set up and manage your rental, match and record your payments, give you access to your unit and communicate with you about your account.
- Legal obligation – to keep financial and accounting records as required by tax law, and to comply with any other legal requirements.
- Legitimate interests – to keep our sites, units and customers' goods secure (including CCTV and ID checks), to prevent fraud and misuse of our website, and to recover unpaid sums. We balance these interests against your rights.
- Consent – to send you marketing messages, but only if you have opted in. You can withdraw consent at any time by contacting us or using the unsubscribe link in any message.
If you do not provide the information we need to set up a rental, we may not be able to provide our services to you.
Who we share your information with
We do not sell your personal information. We share it only with trusted service providers who help us run our business, and only as needed:
- Storeganise – our online booking and customer management system.
- Google reCAPTCHA – to protect our booking forms from spam and abuse.
- Our email hosting provider – to send and receive emails.
- WhatsApp (Meta) – if you choose to contact us by WhatsApp.
- Our accountants – to prepare our accounts and tax returns.
- Our storage insurance provider – if you take out insurance through us.
We may also share information where required by law (for example with HMRC, the police or other authorities), or where necessary to recover debts or protect our legal rights.
Some of our service providers may process data outside the UK. Where they do, they use appropriate safeguards required by UK data protection law, such as UK-approved contract terms.
How long we keep your information
- Customer records – for the length of your rental, then financial records for 6 years after it ends, as required for tax and accounting purposes.
- Enquiries that do not lead to a rental – deleted after 12 months.
- CCTV recordings – kept for 6 months unless needed to investigate an incident.
- Marketing preferences – until you withdraw consent or ask us to stop.
Keeping your information secure
We take appropriate steps to protect your personal information from loss, misuse and unauthorised access, and we only allow access to people and providers who need it.
Your rights
Under UK data protection law you have the right to:
- Access – ask for a copy of the information we hold about you.
- Rectification – ask us to correct information that is wrong or incomplete.
- Erasure – ask us to delete your information in certain circumstances.
- Restriction – ask us to limit how we use your information.
- Objection – object to us using your information based on legitimate interests, and to direct marketing at any time.
- Portability – ask for information you gave us in a format that can be transferred to another organisation.

Cookies
Our website uses only essential cookies needed for the booking system to work and for Google reCAPTCHA to protect our forms. We do not use cookies for advertising.
